What is the GDPR setting used for in JobAffinity?

In the Admin/GDPR menu, you can configure the following settings:

  • Data retention period: Define a duration (e.g., 2 years) and check the automatic deletion box → inactive applications will be erased once this period expires.

  • Candidate information: Add your GDPR commitment text that will be displayed on your forms. This text informs candidates of their rights (data modification, deletion, etc.).

  • Email application acknowledgments: If you receive applications by email, check the box "Send an email to the candidate after their application is submitted" and customize the message. An example is available directly in the GDPR menu.

  • Consent renewal: Enable the "Automatically renew" option (under Admin/Templates menu) and customize the email sent to candidates to extend the retention of their data.

Legal Context:

  • Article 6.5 of the French Data Protection Act and Article 5e of the GDPR → personal data must not be kept longer than necessary.

  • The CNIL (French Data Protection Authority) recommends a maximum retention period for applications of 2 years after the last contact.
